Set Up a Professional Email Address for Your Website Domain

Create a professional email address with your own domain, connect it correctly, secure your email delivery, and start sending and receiving business emails.

Choose Your Business Email Address

Pick the Address You Need

A professional email uses your own domain instead of a free email provider — for example, hello@yourbusiness.com instead of yourbusiness@gmail.com.

Before creating the mailbox, decide what the address will be used for.

Common Email Addresses

- General business inbox: hello@yourdomain.com, contact@yourdomain.com, or info@yourdomain.com

- Customer support: support@yourdomain.com

- Sales: sales@yourdomain.com

- An individual: yourname@yourdomain.com

NOTE

For most small businesses, hello@yourdomain.com or contact@yourdomain.com is a good place to start. You do not need to create many mailboxes immediately — start with the addresses the business actually needs.

Confirm You're Ready to Continue

Make sure the following are true before you create the mailbox.

You own the domain

The domain is active

You know where its DNS records are managed

You have an email service available for the domain

NOTE

If your website is hosted somewhere different from your email service, that is fine. Your website hosting and email hosting do not have to be the same service.

Create Your Email Account in Hostinger

Open Mailboxes in hPanel

If you are using Hostinger, open hPanel, find your domain, and open Mailboxes.

If email has not been activated for the domain yet, activate the available email service or choose a Business Email plan first.

Add the Mailbox

Select Add mailboxes and create the email address you chose in Step 1, with a strong password.

NOTE

Hostinger lets you create and manage domain mailboxes directly from the Emails section of hPanel.

Secure the Account

A unique password

Two-factor authentication when available

A separate app password when an external application requires one

IMPORTANT

Do not reuse the password for your Hostinger account or another important service.

Send a Test Email From Webmail

After the mailbox is created, open Webmail from Hostinger, send a first test message to another email address you own, then reply to it.

Send email

Receive email

Reply successfully

See the correct sender address

NOTE

Hostinger also provides browser-based Webmail for its mailboxes.

Connect the Domain & Protect Email Delivery

Find Where the Domain's DNS Is Managed

If your domain already uses Hostinger's DNS and Hostinger Email, much of the configuration may be handled automatically.

If the domain's DNS is managed somewhere else — such as another registrar or DNS provider — you may need to add the email DNS records there manually.

Check the MX Records

MX records tell other mail servers where email for your domain should be delivered.

For Hostinger Email, verify that the domain uses the MX records shown in your Hostinger Email settings. Hostinger currently documents these default records:

IMPORTANT

Use the exact current values displayed in your own Hostinger account rather than guessing them.

If your nameservers are managed by another provider, make the DNS changes there — not in a DNS zone that is not authoritative for the domain.

Check SPF, DKIM & DMARC

Your domain should also have proper email authentication.

SPF helps identify which servers are allowed to send email for your domain.

DKIM adds a cryptographic signature that helps receiving services verify that an email genuinely came from your domain.

DMARC defines how receiving servers should handle messages that fail authentication and helps protect the domain against spoofing.

NOTE

Hostinger recommends configuring SPF, DKIM, and DMARC to improve trust and protect against email spoofing.

IMPORTANT

Do not create duplicate or conflicting email DNS records blindly.

Use the values shown for your email service in:

If Hostinger indicates that the domain can be connected automatically, use that option.

Wait for DNS Propagation

NOTE

DNS changes may take some time to propagate. Do not repeatedly replace records because email does not begin working immediately.

Once propagation completes, test sending and receiving again.

Finish the Setup & Add It to Your Website

Set Your Sender Name

Instead of recipients seeing only hello@yourbusiness.com, use a recognizable sender name, such as:

- Your Business Name

- Youssef — Your Business Name

Add an Email Signature

Keep the signature simple.

Example signature

You can also include a logo or social link if it is useful, but avoid turning the signature into a large advertisement.

Connect Your Phone or Email App

If you prefer not to use Webmail every day, Hostinger provides the connection details for supported mail clients from the mailbox settings.

Use the IMAP/SMTP or automatic setup information provided there for your chosen device or email application.

Add the Email to Your Website

Replace temporary or personal email addresses on the website with the new business address where appropriate. This may include:

Contact page

Footer

About page

Support links

Privacy or legal contact information

Booking/contact buttons

Replace the Public Contact Email

Finds every user-facing place the old contact email appears — contact sections, footer, About page, support links, mailto links, contact buttons, and legal/contact pages — replaces it with the new business email, leaves technical addresses (auth, APIs, environment variables, backend services) untouched unless they genuinely need to change, preserves the existing design, and lists every file and location it updated.

Review this website and replace the public business contact email with: [YOUR BUSINESS EMAIL] Find every user-facing place where the old contact email is used, including: - contact sections - footer - About page - support links - mailto links - contact buttons - relevant legal/contact pages Do not change email addresses that are used for authentication, APIs, environment variables, backend services, or other technical integrations unless they genuinely need to use the new address. Preserve the existing design. After the changes, list every file and location you updated. Do not deploy anything automatically.

Run the Final Test

Before considering the setup complete:

Send an email from the new address to Gmail or another external inbox

Reply to the professional address

Check that both messages arrive

Check the Spam folder

Verify the sender name and signature

Click the email address on your website and confirm it opens the correct address

Test it on mobile

Your professional email is now ready to use.
